Using WinZip to Compress Files to Send as an E-mail LTA (Moderate)

A Low Threshold Application (LTA) is a teaching/learning application of information technology that is reliable, accessible, easy to learn, and non-intimidating. Each LTA has observable positive consequences, and contributes to important long-term changes in teaching and/or learning. The user of LTAfs whether that person is the teacher or learner should perceive the LTA not to be challenging, or requiring a lot of additional work; rather, the user should find the LTA helpful with quick and meaningful results. Below you will find three categories of LTAfs: easy, moderate, and hard. Simply click on the LTA under the category that you are interested in and you will be linked to a set of simple step-by-step instructions relating to your item of interest.

LTA Overview
This LTA will provide simple instructions on how to use the WinZip application to compress files to be used for transporting and copying. In addition, this LTA will provide instructions on how to use the WinZip program to open zipped files. Before starting this LTA you will need to install WinZip in your computer. LTA Level
This LTA is geared towards mainstream faculty with little or no technical experience. It is designed as an initial first step in familiarizing faculty on how to compress files using WinZip.

LTA Outcomes
By working through this LTA, the user will have a better understanding of the use of Zip files and be able to save time and space, and make downloading software and transferring e-mail attachments faster. In addition, the user will be able to open up files that have been compressed using the WinZip application.

Skills required completing the LTA
Users should be comfortable with working with a computer and be familiar with general file types. Users should be able to operate the mouse and be familiar with clicking and double-clicking the left mouse button. Users should have WinZip installed in their computer under program files before they begin with this LTA. What Is A Zip File, Anyhow?
Zip files are "archives" used for distributing and storing files. Zip files contain one or more files. Usually the files "archived" in a Zip are compressed to save space. Zip files make it easy to group files and make transporting and copying these files faster.

Why Do People Use Zip Files?
Zip files save time and space, and make downloading software and transferring e-mail attachments faster. Typical uses for Zip files include:

  • File transfer time is minimized because the files in an archive are compressed.
  • It is often useful to send a group of related files to an associate. Rather than distributing individual files it is often easier to distribute the files as an archive to benefit from the file grouping and compression.
  • Some files are important but used infrequently. To save disk space simply compress these files into an archive when they are not used, and decompress them only when needed.

Steps on how to compress files using WinZip:

To zip multiple files/documents into single file, the first thing you need to do is create a folder that will contain all the files to be compressed using WinZip

How to create a folder:

  • Right-click on the Desktop
  • Click on New
  • Click on Folder
  • Type in a name for the new folder (ex: test)
  • Press Enter or click anywhere outside of the folder to deselect

Locate files to be compressed (Assuming files are saved in gMy Documentsh):

  • Double click on My Computer
  • Double click on Drive C:
  • Double click on the folder gMy Documentsh

Select files to be copied to folder on Desktop to be compressed using WinZip:

  • Click with your left mouse button on the first file you want to copy
  • Hold down the Control key and click on additional files you want to copy
  • Release the Control key and you will see all files highlighted that you want copied
  • Right-click your mouse button
  • Click on Copy from the drop down menu with your left mouse button
  • Minimize all active windows to see your desktop
  • Right-click on the folder you created on your desktop that will contain the files to be compressed (ex: test)
  • Click on Paste from the drop down menu

How to zip a folder:

  • Right-click on the folder on your desktop to be zipped
  • Left click on Add to gfolder nameh.zip (ex: test.zip)

  • The WinZip wizard will start

  • Click on I Agree button to accept the terms
    The zipped file will appear on your desktop and will look like the below example:

  • Double-click on the zipped file

  • The WinZip wizard will startup

  • Click on the I Agree button to accept the terms
    The document(s) will unzip in WinZip

  • Double-click on the document to open it.
